How to Build a Lead Qualification System
You're getting leads. Problem is they're not all worth your time. Some are price shoppers. Some want things you don't offer. Some don't have budget. You're wasting hours chasing leads that won't convert while real opportunities slip away because you're overwhelmed.

What Makes a Qualified Lead?
Four criteria:
Budget: Can they afford you? Someone wanting $500 website isn't qualified if your minimum is $5,000. Budget is hardest disqualifier to fake. Ask early.
Timeline: Do they need it now or in 12 months? Someone starting in 3 months is more qualified. Urgency = higher conversion likelihood.
Authority: Are they the decision-maker? A manager researching marketing isn't qualified if CEO decides. Need to talk to actual buyer. Clarify who decides.

Building a Scoring System
Convert gut decisions into data-driven decisions. Assign points to criteria. Add them up. Above threshold = pursue. Below = disqualify.
Example System:
Budget (0–30):
- $10k+ = 30 (qualified)
- $5k–$10k = 20 (qualified)
- $2k–$5k = 10 (marginal)
- Under $2k = 0 (not qualified)

Authority (0–20):
- Decision-maker = 20

Relevance (0–20):
- Perfect fit = 20
- Close match = 10

Total 100 possible. 70+ = qualified, pursue immediately. 40–70 = marginal, single follow-up. Under 40 = reject or nurture sequence.
Gathering Qualification Data
Can't score without data. Ask the four key questions. But not 20—that kills conversion.
Front-End Qualification: Initial form or call: "Budget?" "Timeline?" "Decision-maker?" "What are you looking for?" That's it.
Progressive Qualification: Ask one or two on form. Others on discovery call. Feels less intrusive. Better completion rates.
Behavioural Data: Track actions. Visited pricing page = budget-conscious. Downloaded case study = interested. Returned multiple times = serious. Behaviour is honester than words.
Automating Qualification
Chatbot Pre-Qual: Ask qualification questions before form. Route qualified to forms. Disqualified get: "Thanks for interest. We specialise in X but you need Y. Here are resources..."
Form Logic: Different questions based on answers. Budget $2k = no enterprise questions. Just exploring = ask about newsletter instead of pushing call.
Email Automation: After form, send email qualifying further. "Are you the final decision-maker?" Their answer determines next follow-up.
CRM Scoring: Set rules: form fills, email opens, page visits, clicks. High-engagement = higher score. Auto-flag for sales team.
Disqualification Criteria
Sometimes say no. Disqualify if:
- Below minimum budget (unprofitable)
- Want things you don't offer (wasted effort)
- Notoriously difficult (bad ROI)
- Not decision-maker and won't introduce (you won't close)
- Competitor fishing (you won't get paid)
Saying no sounds counterintuitive. But it frees time for high-potential leads. Close rate increases. Profitability increases. Stress decreases.
Follow-Up Sequences
Qualified (70+): Immediate follow-up within 2 hours. Phone preferred. If can't reach, email. Schedule meeting.
Marginal (40–70): Single follow-up call. If they qualify, pursue. If not, add to nurture. Email relevant content monthly. Wait for buying signals.
